A database is useful only when people can be found again

Storing CVs is not enough. HICE connects skills, interviews, requests and feedback so known candidates can serve future searches.

Building a candidate database you can actually search

A folder of CVs is not a database. The difference is whether you can ask it something and get an answer: who has a specific skill, at what level, when they last used it, and whether they are available. A document saved in a folder answers none of that.

When CVs are uploaded, HICE extracts the information and creates structured, searchable profiles. From there, what makes the difference is the discipline of maintaining them: updating availability and expectations at every conversation, and recording the date each skill was last verified. A skill without a date does not distinguish someone who used it last quarter from someone who touched it six years ago.

    • Skills with level, evidence and verification date
    • Process stage and closing reason always recorded
    • Availability and expectations updated at each contact
    • Duplicate detection before adding new sources

Consent and retention from day one

A candidate database is a database of personal data, and in recruiting it is also shared with clients when profiles are presented. It is worth deciding from the start what is stored, on what legal basis, for how long, and exactly what information leaves the company when a shortlist is sent.

Designing that at the beginning costs very little. Applying it afterwards, across thousands of inherited records with unknown provenance, costs considerably more and usually ends in a mass cleanup that destroys useful information along with the surplus.

    • Source and consent date on every profile
    • Expiry for profiles with no activity, with prior warning
    • Control over which data is shared when presenting a shortlist
    • A log of who has accessed sensitive information
