Counting time is not enough: it must be valid

The value is the complete path: hours assigned to the correct work, submitted by the person and approved by the accountable manager.

Getting the team to actually log hours

The problem with time logging is almost never the tool: it is what gets asked for. When people have to choose between dozens of activity codes and justify every deviation, they stop filling it in daily and complete it on Friday from memory. The result is data with the appearance of precision and the content of an estimate.

The rule that fixes it is to ask only for the granularity that produces a decision or a contractual obligation. If the contract does not distinguish analysis from documentation, the timesheet does not need to either. And it helps enormously if the person logging sees something in return: their own hours, their approval status and the project's consumption.

    • Projects and clients preloaded from the assignment
    • Entry in seconds, and from a phone
    • Same-day reminder for incomplete timesheets
    • Each person able to see their own hours

Approving by exception instead of reviewing line by line

If the manager has to review every line, they will not: they will approve in bulk on the last day and the control will be nominal. Highlighting only what is anomalous turns half an hour of work into three minutes and improves real oversight rather than relaxing it.

The anomalous is always the same and is detected automatically: hours booked outside the assignment, overrun against what was planned for the period, bookings to projects that are already closed, and people with an active assignment who have logged nothing at all.

    • Exceptions highlighted against the rest of the period
    • A history of who approved what, and when
    • Corrections with the reason recorded
    • Period closed with absences already resolved
