Expenses, leave and purchases approved without writing a single email.

Whoever spends takes a photo of the receipt. Whoever goes on leave picks the days. Whoever needs to buy something asks for it in the app. hice takes every request to the person who has to approve it, with everything they need to decide.

Free for up to 10 people, no credit card required.

A receipt's journey

From the restaurant table to the reimbursement, in five stops. Each stop is handled by the right person, and nobody has to forward anything to anyone.

  1. Emma takes a photo of the receipt

She had lunch with Client Alpha. She opens the app on her phone and takes a photo: hice reads the receipt and fills in the amount, VAT, date and category on its own. Nothing to retype, no envelopes to hand in at month end.

  2. She picks the project and sends it

Emma notes that it was for the Client Alpha project, marks it to be rebilled and taps “Send to manager”. One click, and the expense claim is on its way.

  3. The manager approves

Mark gets the request with the receipt, the amount and the project already attached. He doesn't have to ask anyone anything: he looks and approves.

    Mark Bennett, manager

  4. If you want, finance gives the second yes

This is the two-step approval, and you switch it on: after the manager, the person who keeps the books confirms. Two separate checks, and no email chains to forward.

    Ellen Grant, finance

  5. Reimbursement, and rebilling the client if needed

The approved expense is ready to be reimbursed to Emma, and you mark it as paid when you reimburse her. Since it was marked to be rebilled to Client Alpha, you don't have to remember.

Leave, purchases and company assets take the same road

Not just expenses. Every request reaches the person who has to approve it with the context already inside.

Leave and time off

Anyone who wants a day off, or a few hours, asks for it in hice. The manager approves and you see everyone's leave for the year, approved and pending: nobody keeps count on a spreadsheet anymore.

Purchases

Need a new laptop? You make a request from the phone app. The approver sees it with the amount and the reason, the approval route depends on the amount and the category, and the request stays linked to the supplier.

Company assets

Laptops, equipment, cars: you always know who has what, and since when. So when someone leaves the company, you know what they need to return.

The bill, at month end

Every request finds its own way. You and your managers are left with only the part that matters.

What business owners ask us

Who approves expense claims?

The manager of the person who made it and, if you set it up, finance too, one after the other. Each of them gets the request with the receipt, the amount and the project already attached.

Can I rebill an expense to the client?

Yes. When you create the expense claim you link it to the client's project and mark it to be rebilled. You then record the rebilling, with the invoice and the payment received, from the phone app.

Our consultants are always on the road. Do they need a computer?

No. hice has an app for iOS and Android: from their phone they can send expense claims and request leave and time off.

Does someone who only logs expenses and leave cost as much as a manager?

No. Someone who logs hours, leave and expenses is a BASIC user: on the Business plan they cost €1.90 a month, versus €19.90 for someone who coordinates and approves (prices for Europe, excluding VAT). hice is free for up to 10 people.
