    PSA (Professional Services Automation)

    Software that unifies project management, staffing, timesheets, billing and CRM for consulting and professional services firms.

    PSA stands for Professional Services Automation: an integrated platform that manages the entire lifecycle of a services engagement, from sales to final invoicing.

    In modern consulting firms, PSA replaces a patchwork of spreadsheets, ERPs and point tools by centralizing data such as sales pipeline, resource allocation, logged hours, direct costs, earned revenue and project margin. The goal is to improve utilization (typically from 60% up to 75-85%) and reduce billing leakage, often quantified between 5% and 15% of revenue in firms without integrated tooling.

    The distinction that matters when comparing PSA products is between those that model work and those that model the economics of work. A tool that shows tasks and dates but does not attach a cost and a rate to each hour cannot tell anyone whether a project is profitable while it can still be corrected, and that is normally the reason the firm went looking for a system in the first place.

    Rollouts fail on adoption far more often than on features. The pattern that works is to start with projects and hours, because that is where the economic record is created, then add resourcing once real consumption data exists, then billing on top of approved hours. Every mandatory field added before the habit is established costs adoption, and can be introduced later at almost no cost.
